Target Audience: Content strategists and curators, acquisition executives, sales professionals, distribution leaders, and audience insights.

Session Description

As the media industry continues to evolve at a rapid pace, professionals working in content strategy and platform development face increasingly complex challenges: shifting audience behaviors, evolving distribution models, rising production and technology costs, and accelerating innovation pressures. While many organizations face similar obstacles, they often work in silos—limiting the opportunity to collaborate, share insights, and co-design solutions.

“The Collaborative Table” brings together up to 40 professionals working in content strategy, sales, distribution and insights for a highly interactive, solutions-driven conversation. The goal is to break down professional barriers, foster new connections, and engage in collective problem-solving around shared industry challenges.

Session Objectives

1) Build a Lasting Professional Cohort: Create connections that extend beyond the conference, establishing a trusted network of peers who can support each other's work long-term.

2) Collaborative Problem-Solving: Address real challenges facing media professionals today through collective expertise and diverse perspectives.

3) Cross-Functional Insights: Bridge gaps between content strategy, platform development, acquisitions, sales, and distribution.

4) Actionable Outcomes: Generate practical solutions participants can implement immediately and create a framework for collaboration beyond the session.
 

Session Structure

Opening (10 minutes)

*Welcome and session overview
*Brief icebreaker to set a collaborative, energized tone
*Introduction of key themes and challenges to be addressed

Round Table Collaboration – Part 1  (15 minutes)

Participants are divided into 5-6 small groups (6-8 people each), ensuring cross-functional representation at each table. Two to three challenges affecting the media industry will be tackled in this round with each table assigned one challenge. Topics being considered include: 

*Navigating fragmented distribution landscapes
*Launching new platforms and maintaining content discoverability
*Adapting content strategy for evolving audience behaviors
*Building sustainable revenue models in competitive markets
*Managing rights and windowing in the streaming era
*AI and its impact on workflows
*YouTube as a tool to optimize viewership and increase revenue

Knowledge Share  (15 minutes)

Groups present their key insights (2-3 minutes each) to the full room in a facilitated discussion identifying common themes and breakthrough ideas.

Round Table Collaboration - Part 2  (15 minutes)

Two to three new challenges affecting the media industry will be tackled by our 5-6 small groups.  Building on the connections developed in Part 1, teams will be encouraged to dive deeper into emerging themes, building on insights from the first round and the interconnection of cross-functional teams. 

Knowledge Share  (15 minutes)

Groups present their key insights (2-3 minutes each) to the full room in a facilitated discussion identifying common themes and breakthrough ideas.

Closing & Next Steps  (10 minutes)

*Collective recap of key takeaways and solutions. 
*To be distributed post-event:
          -Participant directory for continued collaboration
          -Digital summary of solutions and insights covered during the session
*Introduction of opportunities to reconvene at future industry events and virtual meet-ups

Requested time: 3:30p or 4:00 PM
Session length: 80 minutes
Note: This session is intended to transition directly into the conference Happy Hour.
 
Room Setup & Equipment

Room layout:
5–6 round tables (seating ~6–8 per table) to facilitate small-group discussions
Equipment needs:
*Dry-erase whiteboard + assorted markers
*Optional: 1 handheld or lapel microphone (depending on room size)
*Optional: Flip charts for each round table, if available
 
Participant Capacity & RSVP Process

*Cap attendance at 40 participants (due to roundtable format and discussion-based design).
*Advance RSVP required. List requested to be shared with moderators ahead of conference.
*RSVP Question (required field – if possible):

“What topic and/or pain point would you most like this roundtable to cover?”

*Include this question as a mandatory field when registering for this session.
*Moderators will provide the organizer with a list of example categories (e.g., content and/or platform distribution, metadata, audience engagement, AI workflows) to pre-populate dropdown options plus an open text field for attendees to add a specific topic.
*Intention is to tailor topics based on participant feedback and attendee roles. 
 

Happy Hour Integration

·       To support the interactive and social nature of the session, we’d love to have wine, sparkling water, and glasses available on the tables for guests to serve themselves as the discussion unfolds.

Preferred Approach:

o   Provide a bottle of red, white and sparkling water on each table with 5-8 glasses to accommodate participants. 

o   Partner with a Colorado winery to provide the wine, providing a QR Code to their website to encourage their participation.

Ø  If not possible, we are happy to work with Gaylord for beverage service.
